Student Data Privacy

Many ShowReady OS users are students who are minors. This page focuses specifically on how student information is handled -- our general Privacy Policy covers everyone who uses the platform.

How student accounts are created

Student accounts are created by an advisor, or approved through a chapter's own signup process -- never created directly by a child acting alone, without an advisor or parent/guardian involved. A new login by itself holds no program data and grants no access to anyone else's information; it only becomes a working student account once a chapter advisor or district administrator reviews the request and matches it to that student's existing roster entry. Where a household account exists, a parent or guardian can see their student's records within the app.

Children under 13 (COPPA)

Some ShowReady OS students are under 13. Because every student account requires a school advisor or district administrator to approve it and link it to that student's roster entry before it can see or hold any information, we rely on that school's authorization -- rather than collecting separate parental consent directly -- consistent with COPPA's allowance for services used for a school's educational purposes. We don't use a student's information for advertising or behavioral profiling, don't enable public profiles or public posting, and don't condition a student's use of the product on collecting more information than the program itself needs. A parent or guardian can review, correct, or request deletion of their student's information at any time by contacting their chapter advisor or us directly.

What student information we collect

Name, email, and the day-to-day records of running a livestock project: daily care, weights, SAE and barn hours, show participation, cleaning tasks with photos, and project financial records the student enters themselves (like feed costs or a sale price). This is the same category of information a paper logbook or spreadsheet would have held -- we haven't added anything beyond what the program already tracks.

Who can see it

Access is scoped at the database layer, not just hidden in the interface. A student's records are visible to: the student themselves, their parent/guardian (if a household account exists), the advisor(s) overseeing their chapter, and district administrators for that district. Students in other chapters or districts can't see it, and there's no public access to student records.

No ads, no tracking, no resale

We don't run analytics or advertising SDKs, don't track location, and never sell student (or any) personal information. Student data is used only to run the product itself -- showing the right records to the right people and generating the reports (like AET exports) the program already needs.

Retention and deletion

We keep student records for as long as their chapter or district is an active ShowReady OS customer, and for up to one year afterward for historical/AET purposes, unless deletion is requested sooner. A parent, guardian, advisor, or district administrator can request correction, export, or deletion of a student's information at any time -- see our Account & Data Deletion page for how.
