Privacy Policy

ShowReady OS is a management platform for youth livestock projects. This policy explains what information we collect from advisors, students, and families who use ShowReady OS, why we collect it, and how it's handled. Anyone can create a ShowReady OS login, but it holds no program data and grants no access to anyone else's information until a chapter advisor or district administrator approves a request linking it to a school-affiliated FFA chapter, 4-H club, or district -- every account is overseen by an advisor or district administrator this way, and everything in this policy applies to the information that account holds.

Information we collect

Account and contact information. When someone is added to a chapter -- as a student, family member, advisor, or administrator -- we collect their name, email address, and, where provided, a phone number. This is used to identify who's who within a chapter, to sign in, and to send account-related and chapter communications.

Program and animal-project content. The core of ShowReady OS is the day-to-day record of running a livestock project: daily feed, water, and health observations; animal weights; medications; cleaning and barn-hours logs; show attendance and results; and photos attached to cleaning tasks or chapter announcements. This also includes project-level financial records a student or family enters themselves, such as an animal's purchase price, feed and supply expenses, and sale or auction results -- used only to produce the project books and reports (including AET exports) the program already requires, never for advertising or resale.

Messages and announcements. ShowReady OS includes in-app messaging between chapter members and chapter/district announcements. The content of these is stored so the relevant recipients -- and only the relevant recipients -- can read them.

Device and notification information. If notifications are enabled, we store a device- or browser-specific token (through Apple, Google, or a web browser's push service) so we can deliver alerts like new messages, reminders, and low feed-inventory warnings. We don't use this token for anything besides sending those notifications.

We do not use analytics or advertising SDKs, and we do not collect location data, browsing history, or health information about the people using the app (the health records in ShowReady OS are for animals, not for their handlers).

How we use this information

Everything we collect is used to run the product itself: authenticating accounts, showing the right data to the right chapter members, sending the notifications someone has opted into, generating the reports and exports a program needs, and providing customer support when something needs fixing. We do not sell personal information, and we do not use it for third-party advertising, marketing unrelated to ShowReady OS, or profiling.

Who we share it with

We share information only with the service providers that make ShowReady OS work, each bound to use it solely to provide that service: Supabase (our database, authentication, and file storage provider), Vercel (our application hosting provider), Resend (to deliver transactional email -- account and chapter notifications, invites, and digests), Apple and Google's push notification services (to deliver alerts to phones), and Stripe (to process district-level subscription billing -- we never see or store full payment card numbers ourselves). Within a chapter, advisors and district/chapter administrators can see the program data for the students and families in their own chapter or district, since that oversight is the point of the tool. We don't share information across chapters or districts that aren't connected to each other.

Students, minors, and children under 13 (COPPA)

Many ShowReady OS users are students who are minors, including some under 13. A new login by itself holds no program data and grants no access to anyone else's information -- it becomes a real student account only once a chapter advisor or district administrator reviews and approves a request linking it to that chapter's existing roster. A child cannot create or activate a student account on their own, without that school-side approval step. We collect only what's needed to run a school-affiliated livestock program -- the same kind of coursework, attendance, and project records a paper logbook or spreadsheet would have held otherwise -- and we don't use a student's information for advertising, behavioral profiling, or to build a marketing profile of them. Data retention and security

We keep chapter and account data for as long as a chapter or district is an active ShowReady OS customer, and for up to one year afterward in case a program renews or needs historical records for an AET export. After that one-year window, an inactive chapter or district's data is deleted, unless the chapter, district, or an individual account holder has requested earlier deletion -- which we honor sooner. Data is encrypted in transit, and access within the app is scoped so that a given user can only see the chapter(s) they actually belong to. Changes to this policy

If we make a material change to how we handle information, we'll update the effective date above and, where appropriate, notify chapter administrators directly.
